What about payment terms?

Spot buy center and their clients have contractual agreements. Every invoice from spot buy center sent to one of their clients is payable as defined in the contract

spot buy center won’t invoice prior to the delivery date or the date of the event.

What about the payment terms between spot buy center and their suppliers?

We use a standard payment term of 30 days. Since our cash flow is as important as our clients’ cash flow, payment terms are an import topic during our negotiations.

What about pre-payments?

We often receive questions to immediately pay a supplier without the involvement of spot buy center. If spot buy center wasn’t involved in the negotiations, spot buy center will pay the supplier on a 30 day payment term (unless contractually agreed otherwise).

To clear things up, the ideal process is as follows:

  • Submit a webform with your request
  • Spot buy center scans the market to find a supplier according to your specifications and negotiates a price and payment term
  • The client picks one of the proposals
  • Spot buy center orders the desired solution at the supplier when the client’s po is approved and send to spot buy center
  • The supplier sends his invoice to spot buy center
  • spot buy center invoices the client
  • spot buy center will pay the supplier on the negotiated payment term
  • Client pays spot buy center as defined in the contractual agreement

Often we receive a PO with a payment term negotiated by our client. This should be the exception flow, keep in mind during your negotiations that spot buy center will pay the invoice on minimum 30 days net (unless contractually agreed otherwise).  If spot buy center wasn’t involved, please inform the supplier about our minimum payment terms to avoid delivery problems.

What is OAZO?

OAZO is the software developed by spot buy center where you can:

  • fill out a webform with all the specifications of the product/service you are looking for
  • view the proposals spot buy center has found and pick the one(s) that best fits your need
  • navigate and shop in our tailor-made webshop

It is also called “the spot buy center client zone” from time to time

Why the partnership with spot buy center?

For small and less strategic purchases the whole process of obtaining quotations, price negotiations, ordering and delivery, following up invoices and paying suppliers is taken care of by spot buy center (SBC). In this way, we manage every day to realize substantial economies of scale (through synergies with similar purchases for other companies) and to drastically reduce our clients’ supplier database, thereby simplifying your administration and allowing your buying teams to focus more on strategic matters.

What is the difference between the webform, the webshop and a direct po?

There are three main flows:


1) Webform:

spot buy center’s main activity is searching the right supplier for your specific requests. If you need something that’s not available in our webshop catalogue, you use the webform to launch a request.

Go to OAZO and fill in the webform. Here is an example:

As shown in the movie, it is possible to mention a preferred supplier and your budget. We will always involve your preferred supplier in our market scan.

You can add multiple requests by adding extra lines. Or use the “copy line function” to quickly add an extra line.


2) Webshop catalogue

Click on the webshop button on the left in our application OAZO to launch the webshop.

Our webshop or catalogue is tailor made. Some categories have been set up together with the client, others are offered to you by spot buy center.
Add the items to your shopping basket and checkout to launch a purchase request (PR)

We will continuously expand our catalogue. Can’t find what you’re looking for? Click on “Webform” in the menu on the left and fill out a webform!


3) Direct PO flow

Spot buy center also has the ability to treat direct PO’s. This flow is mainly used for administrative purchases.

The direct PO flow allows you to directly launch a PO to spot buy center, with the end supplier details in the notes. That way you don’t have to create a webform. When receiving the PO, spot buy center creates the supplier and forwards your order to this supplier. This process saves you time and you receive a digital invoice from spot buy center:

What to do when I have a remark or complaint?

When you want to give feedback on a specific case (a complaint, a remark or compliments), you can logon to the spot buy center platform (OAZO) and go to the “My Cases” tab on the left. Find the case you are looking for and click on the thumbs up or thumbs down buttons next to the case.

Or you can also click on the link at the bottom of the email communication of the corresponding case.

A new screen will open where you can submit your feedback.
